ENGAGEMENT & SCOPE

How engagements work, how long they take, and what to expect from start to delivery.

Most engagements move from first call to live production system in 14 to 30 business days. Discovery and scoping take 3–5 days. Build and integration take 7–20 days. Deploy and training take 2–5 days. Complex enterprise builds with multiple integrations can run 45–60 days.

Every engagement starts with a free discovery call and operational audit. We then deliver a written scope outlining exactly what will be built, the timeline, and what success looks like. Once aligned, our team builds, deploys, and supports the system end to end.

We work with established operating businesses that have outgrown SaaS tools and need software built for their specific operation. We are not the right fit for solo operators or pre-revenue startups. Most clients are running real operations with real teams and real complexity that off-the-shelf platforms cannot fully serve.

Yes. Every engagement includes a post-launch support window. After that, ongoing support, enhancements, and new features are available as needed. The specific arrangement is defined in your engagement agreement so you know exactly what is included long-term.

OWNERSHIP & CONTROL

Who owns what at the end of an engagement — the most important question to ask any vendor.

You do. 100%. Source code, infrastructure, data, and IP are transferred to your business at deployment. We sign full IP assignment paperwork as part of the engagement contract. You can audit, modify, or even hire another team to maintain it.

You can. Because the system is custom-built using standard modern technologies (Next.js, PostgreSQL, AWS, etc.), any competent development team can take over. We provide full documentation, runbooks, and a handoff session if you ever decide to move on.

No. All client data lives on your infrastructure (your AWS account, your database, your domain). We have temporary access during build and support engagements only. When an engagement ends, our access is revoked.

We are not currently hiring out our team. If you need full-time dedicated developers, we can refer you to trusted partners or help you scope and recruit your own internal team.

SECURITY & COMPLIANCE

How we handle sensitive data, compliance, and confidentiality across every system we build.

Systems handling Protected Health Information are built HIPAA-conscious from day one: encryption at rest (AES-256), encryption in transit (TLS 1.3), role-based access control, full audit logging. We sign a BAA before any PHI is exchanged. Note: HIPAA compliance is a shared responsibility — we provide compliant architecture; your operational policies complete the picture.

Our build process and infrastructure architecture are SOC 2-ready. We have not undergone formal SOC 2 audit ourselves (it makes sense at a much larger team scale). For clients who require SOC 2 compliance on the deployed system, we build to those standards and support their audit process.

All sensitive data is encrypted at rest using AES-256, in transit using TLS 1.3, with key management handled via AWS KMS or equivalent. Role-based access control and audit logging are standard on every system. PCI-scope data (credit cards) is handled via Stripe or equivalent tokenization — we never store raw card data.

Yes. We sign mutual NDAs before any technical discovery begins. Every engagement also includes a confidentiality clause covering all business information shared during the project.

The technology stack, integration capabilities, and architecture decisions behind every build.

Standard modern stack: Next.js / React for frontend, Node.js or Python for backend, PostgreSQL for transactional data, Redis for caching/state, AWS for infrastructure. We use Stripe for payments, Resend or SendGrid for email, Twilio for SMS. Stack choices are made for longevity and to make sure any modern team can pick up the codebase.

Yes. We integrate with QuickBooks, Xero, Stripe, Slack, Twilio, SendGrid, and most major business platforms out of the box. Custom integrations for industry-specific systems (EHRs, DMS, dispatch, ELD, accounting) are part of most engagements.

Yes. Systems are architected for 10x-100x growth from day one. We deploy on AWS with auto-scaling infrastructure, use database patterns that handle high concurrency, and write code that does not fall over at scale. We have deployed for businesses that grew 5x in 18 months without re-architecture.

Yes. Most operational systems include a mobile component for field teams (technicians, drivers, sales reps). We typically build Progressive Web Apps (PWAs) that install on any phone without app store delays. For specialized use cases, we also build native iOS / Android apps.

What the first 30 days look like, how involved your team needs to be, and what comes after launch.

Days 1–3: Discovery call and operational audit. Days 4–7: Scope and quote, contract signed. Days 8–21: Build phase with weekly check-ins. Days 22–28: Testing, integration, and team training. Days 29–30: Go-live and 30-day intensive support window.

Less than most engagements require. We need 2–3 hours from a decision-maker during discovery, then 30–60 min per week for build reviews. Heavy operational team involvement (testing, feedback) happens in the final week before go-live.

Yes — and most successful client relationships start this way. We build one focused system (e.g., dispatch dashboard or sales pipeline), prove the ROI, then expand into adjacent operations over time. Lower risk for you, better outcomes for everyone.

Built into every engagement. The first 90 days include a generous change window. Beyond that, changes and new feature builds are handled through your ongoing engagement arrangement. Most clients continue evolving their systems with us as their business grows.
